Each and every event professional has their own personal list of items, tools and gadgets that lead them towards accomplishing their goals at events. There are just certain things we can’t work without. So what is on your list of must-have essentials? The following list includes 14 things that have led my events towards organization and success. By owning these items, you are sure to rock your next big event! What would you add to this list of things #eventprofs should own?
- Organized Filing System
Staying organized is very crucial to success as an event manager. Having your own style of filing and tracking documents both on and offline will keep you on track and save precious time during busy events.
- Well-Maintained Calendar
Everyone has their own system for maintaining a daily to-do list. Most of us keep a calendar or agenda to provide a look at each day, week and month. Maintaining a digital calendar is one popular method as it allows you to view your obligations at just the click of a button, although some managers still prefer a handwritten calendar. Finding what works most efficiently for you and your style is always the best method.
- Emergency Kit
Having your own emergency kits for events is a great way to stay prepared and ahead of the game. If you are a wedding planner, keeping things like bobby pins, mints, and stain remover would all be great items for your kit. If you plan more corporate events items like pens, notebooks and back up batteries might be more your style. Whatever your event, having these clutch little kits can save you in a pinch.
- Extra Cell Phone Charger
For those of us who travel, we have sacrificed our fair share of cell phone chargers to hotels and rentals cars. Always keeping an extra one handy is sure to keep your battery charged and could help out an attendee that might be in a tight spot. Another item to keep handy is a car charger, as these are vital for planners on the move.
- Extra Copies of Everything
Back up copies of all vital event documents will prove to be your best friend during a busy event. On many occasions documents get misplaced or distributed leaving you, the planner, in a tight spot. Unless you have quick access to a copier you could be left carefully guarding your master list!
For example, at a large-scale golf outing you may need many sets of pairings for the tournament staff, club staff, additional guests and volunteers. The last thing you ever want is to run out of copies for your VIPs, so when in doubt print additional. Don’t forget to think green by recycling the leftover copies after the outing!
- Well-Trained Staff and Volunteers
While you may not “own” them, you should definitely have reliable people to count on at your events. Take the time to train your team and educate them on your event, your client or your organization. This will give the staff a sense of ownership in the event and increase their customer service skills on the day of the event.

Always have your own supply of snacks and lots of water on hand. When you get busy as a planner it is easy to forget to eat or become dehydrated. Finding the best way to reduce your stress level is a secret weapon among event planners. For me, it is going on a nice long run at the end of the day. For some people it might be a little glass of wine after work, spending time with friends or listening to music. Finding your stress reliever and making it a special part of your routine will go a long way in keeping you sane and happy as a planner.

6 Marketing Tips To Increase Event Registration Sales
Achieving high event registration sales accomplishes a twofold purpose: you generate a profit from the sales of those registrations, and achieve brand awareness from attendees who will be learning about your company or organization. The process is easier said than done if you’re not privy to the tricks-of-the-trade employed by successful sellers and marketers.
- DON’T SETTLE FOR ONE REGISTRATION TYPE
People like having choices. Give potential attendees multiple options. Aside from a basic registration, what other options can you add
Here are some ideas:
EARLY BIRD
Award those who reserve their registration early by giving them a discount. Whatever date you begin selling registrations, create a window of opportunity for attendees to get a discount. If you begin selling registrations two months out from the event, for example, then consider a discount price for the first two weeks. Heavily advertise this to get people to take advantage of the offer. Aside from the cheaper price, early bird sales also ensure that those who buy early are guaranteed a spot. This also prevents you from having too many registrations that have to be sold last minute.
HALF-DAY OR PROGRAM SPECIFIC REGISTRATIONS
If your event spans the course of a weekend or a whole day, then provide partial day access for those that cannot attend the whole event. Keep in mind that there are those who would like to attend but are unable to spare a weekend or even a full day. Provide people in this situation with the option to attend for just the afternoon or evening portion of the event.
LIMITED ACCESS REGISTRATIONS
If the event contains multiple booths, workshops and presentations, consider providing registrations that are only good for a certain aspect of the event. Some attendees may only be interested in just one of the workshops or just want to attend one lecture.
Limited access registrations give these attendees the option to do just that without having to pay the price of a regular registration.
- GET SPONSORS INVOLVED
Remember, a bigger turnout means more potential new clients for the sponsors, so they are just as invested as you are for a successful event. Also, sponsors likely have bigger name recognition than your company; if they didn’t then they would be the ones turning to you for sponsorship. Make your sponsors help you by offering all the same registration options and discounts you give your own followers. To make the work easier for your sponsors, let them use some of your own marketing material. You can, for instance, give them email copies of your own newsletters complete with a call-to-action and link to the event page. This way, sponsors can use the copy for their own newsletter and not have to write up their own.
- MARKET YOUR EVENT AS EDUCATIONAL AND FUN
The primary focus should be the educational content. However, keep in mind that guests don’t just consist of your core demographic; they also consist of family members, friends, and third wheels of that demographic. Do you think these people really care for your event and all the workshops and lectures that will probably put them to sleep?
To make it worthwhile for them, promote the fun aspect of the event. Will there be entertainment, such as an after-event dance party or a professional entertainer? If so, then there is no such thing as overemphasizing it.
- UPSELL REGISTRATIONS
Upselling is somewhat of a controversial sales tactic due to its overtly promotional nature. However, most people agree that upselling can be effective as long as you don’t shove one product after another down your customers’ throat.
Keeping it to one product after a purchase should work just fine. In this case, upsell your registrations at a discount price as a thank you offer for customers that make a purchase or sign up for a service. Be sure to include a strong call-to-action. - STREAMLINE THE PROCESS

This comes in really handy if expecting oversea guests. For all other guests, it just makes the process easier for them as their registrations can be reserved online by just inputting their basic information.

Use your social media outlets to host a few contests with registrations as the winning prizes. Consumers love interactive experiences, and a competition is a great way to get participants involved in a way that draws hype and anticipation. So what kind of competition should you host? Wie groen wilt ondernemen moet de hele bedrijfsvoering onder de loep nemen om te kijken waar verduurzaamd kan worden. Van arbeidsethos tot afvalverwerking, van energieverbruik, CO2 uitstoot tot duurzame kantoorspullen.
Duurzaam ondernemen is niet alleen goed voor het milieu maar kan je als ondernemer ook nog kostenbesparing én een goed imago opleveren. Een slim kantoor gaat wijselijk om met het milieu en grondstoffen en maakt daarmee ook nog winst.
Duurzaam
Elk stukje papier, meubelstuk, zak koffiebonen of theezakje op kantoor is haar leven begonnen in een bos of op een plantage. Wanneer duurzaam beheerd kunnen deze boerderijen of bossen een veilige plek vormen voor vogels en wilde dieren, betere leefomstandigheden betekenen voor arbeiders of als opslag dienen voor broeikasgassen, die de oorzaak zijn van het opwarmen van onze aarde. - Doe het licht uit op kantoor. Hoeveel kantoorpanden zijn er wel niet, die de hele nacht licht hebben branden op de lege werkvloer? Het laten branden van het licht op kantoor kost per jaar ongeveer evenveel energie als het verwarmen van een heel huis voor 5 maanden.
- Zorg ervoor dat al het printpapier, briefpapier en de meubelen in het kantoor het FSC keurmerk dragen voor duurzaam bosbeheer. De Rainforest Alliance keurt en certificeert bossen die voldoen aan de sociale, economische en milieueisen van de FSC (Forest Stewardship Council) om bossen, gemeenschappen en wilde dieren te beschermen.
- Maak recyclingpunten op kantoor door aparte afvalbakken neer te zetten voor de verschillende afvalstromen, zoals papier en karton, blikjes, plastic, inktpatronen en gft.
- Kies voor duurzame koffie en thee op kantoor. Let daarbij op het groene kikkertje, het keurmerk van de Rainforest Alliance. Het kikkertje verzekert je dat de koffiebonen en theebladeren verbouwd zijn op een manier die goed zijn voor de bossen, grond en waterwegen op de koffieplantages. Bij die koffieteelt zorgen de gecertificeerde boeren voor goede lonen, huisvesting, onderwijs en gezondheidszorg voor hun arbeiders en families.
- Laat de kantoorverwarming niet continu loeien. Een verhoging van 2°C in de kantoortemperatuur produceert per jaar genoeg CO2 om een heteluchtballon mee te vullen.
- Zet de computers echt uit als het werk voor de dag is gedaan. Een computer die de hele nacht standby staat verbruikt evenveel energie als het zetten van 30 kopjes koffie.
- Datzelfde geldt ook voor het kopieerapparaat. Als die een hele nacht standby blijft staan kost dat evenveel energie als het maken van 30 kopjes thee.
- Wees zuinig met de airconditioning. Gebruik deze minder wanneer het kan. Een extra uur airco per dag in een kantoor kost evenveel energie in een maand als een jaar TV kijken.
- Ga zuinig om met papier. Recycle het, print dubbelzijdig, gebruik oude velletjes voor het maken van aantekeningen of neem ze mee naar huis voor je kinderen om ermee te tekenen en knutselen. En zorg ervoor dat het papier FSC-gecertificeerd is.
- Verklein je eigen CO2-voetafdruker door een te letten op je woon-werkverkeer. Als het kan ga fietsen of te voet naar werk. Of neem anders het openbaar vervoer.
